Collect Photo ID Option in Rental Agreement

The custom field file format option has been released!

The File format option can be used for all custom field types, but only Booking type custom fields can be shown to guests on checkout/quote acceptance or rental agreement signing. If you select "file" as the format, you can also show this field during the checkout process to capture a file upload (e.g., JPG, PNG, PDF) from the guest.

Only the file name will be rendered using the custom field code. No image or thumbnail is available to show back to the guest. This is for security purposes at this time. You can insert the field code into the rental agreement or messaging template to remind them that they have uploaded "X" file name as part of the process.

We have it on our form and required and people are using their phones to take and send photos. We have not had an issue with any reservations for the last two months. We require a photo ID and a Selfie. People like the selfie part.

Are you able to require the selfie through the registration flow or do you have them send it to you separately?

Hoping if we turn off the alerts for all the random conversations we will still be able to refer back to the feature conversations if needed in the future?

Memo to self start with the last page when reviewing OR threads! I had no idea I could have IDs uploaded. This is handy especially in light of Airbnb finally succumbing to all of those who have been doing so since day one!

Do you require this within the legal agreement or through a separate email - is there a template?

If you have this set as a requirement, it's required prior to signing the rental agreement, as with any other of the required custom fields.

Do I have to do anything to include it in the rental agreement? I already checked the box for checkout acceptance quote. How do I test it?

If you've followed the instructions in the article Ken linked above, that should be all you need to do to setup the requirement. Testing is best done by going into a booking, to the legal tab, then when you click to request an e-signature, the pop up gives you an option to preview. Once the agreement opens, scroll to the very bottom of the first page to see the ID upload section.

So excited to have come upon this post as we were trying to figure out just how to collect the government ID.  I have followed the instructions for creating custom fields for this.  Is this all I need to do to ensure that at booking the ID is asked for upon booking?  Does this process also occur when using API integrations such as VRBO and Airbnb?  Thank you for this!

Yes, make sure that you made it a "FILE" format and not text. Make it required instead of optional. Good to go.

Hi Erik,

Would you please show how to make it a "FILE" format and not text.  And where I can make it required instead of optional.

Because I had a guest who just e signed and did not fill out the other guests' names and not provide his ID either.  

I had to send a request again.

The format is configured when you create it. I don’t know if you can change it. Delete it and make a new one as a file and choose required.

If we have followed the instructions as you stated will it work with AirBnb bookings? Is there a way to have this file upload populate with the rental agreement or security deposit messages that go out?

Yes, this process works with bookings of all types, including channel bookings.  It's built into the rental agreement signing process.
