Tag automation for your vacation rental business can increase efficiency, reduce errors, lower costs, boost productivity, and free up time for higher-value tasks, leading to improved overall business performance.
If you haven't read the Tag Overview support article, be sure to go back and read that first!
Through the use of Tag Automations, your existing tags can be automatically added to the general info tag section of your new bookings. Those automated tags can then be used in your triggers to send your templates for increased automation!
-
Tag Automations may take a moment to appear automatically on new bookings. But if you refresh the page on your booking, they'll pop right up!
- Tag Automations will NOT be applied to bookings created before July 31, 2024.
In this support article, we will provide a few examples of how you can use tag automation in your workflow. There are endless possibilities for tag automation, and the examples provided below are just a few options among many.
Create Tag Automation
You can add a Tag Automation to existing tags by navigating to Settings > Workflow & Devices > Tag Automations > + Create Tag Automation.
Action
In the Action section, you can add a descriptive name in the Name field and select one of your existing tags from the Apply Tag dropdown menu.
Booking Status
The Booking Status criteria section allows you to automatically set tags to your new bookings for a variety of statuses, including payments, deposits, security deposits, credit cards on file, payment methods, whether you have a signed renter agreement, email address, adjacent nights, or whether the booking is still in pending status.
Want to automatically add a tag indicating that your new listing channel bookings (e.g., Airbnb, Booking.com, etc.) that the guests haven't signed your renter agreement and use that tag as a condition in our trigger to send a reminder to the listing channel guest to do so? You can do that with tag automation!
In this example, we used our existing Missing Renter Agreement tag to automatically add that tag to new listing channel guest bookings that haven't signed your renter agreement. Then, we used the Missing Renter Agreement tag to send an additional reminder to our listing channel guests to sign our renter agreement.
Then, when your listing channel guest signs your renter agreement, you can remove the automatically added Missing Renter Agreement tag. You could also create a tag automation to notify yourself about a booking with a missing renter agreement through this same process.
Booking Fields
The Booking Fields criteria section allows you to select a variety of arrivals, departures, stays, and number of and types of guests for increased flexibility of your tag automation.
Want to automate the sending of your Pet Agreement to guests who book with pets? By using your existing Pet tag, you can automatically send your Pet Agreement to guests who book with their pets as soon as the booking occurs by using the booking criteria section.
Or maybe you have special setups just for pets? Through the use of your pet tag automation and the Tell Cleaning Staff About Special Preparations Needed for an Upcoming Booking template and trigger, your cleaning staff will be automatically notified about special pet setups for new bookings with pets.
Booking Relationship
The Booking Relationship criteria section allows you to select specific listing sites, properties, and seasons for your tag automation.
Want to automatically notify your cleaning or maintenance crew to set up and maintain your holiday decorations for new bookings during the holidays? You can do that with tag automation! In the example below, we created a tag automation to automatically set the Holiday Decor tag to new bookings that occur during our Holiday Season by using the Booking Relationship section. Then, through the use of our Tell Cleaning Staff About Special Preparations Needed for an Upcoming Booking template and trigger, our cleaning staff will be automatically notified about holiday decor without lifting a finger!
Combinations
But don't stop with just one criteria! You have a lot of options to customize your tag automation through the use of multiple criteria.
Accommodating additional guests with rollaway cots or air mattresses is common in vacation rentals, but hosts often store those in areas that are inaccessible to guests. How about creating a tag automation that automatically notifies your Cleaning Staff About Special Preparations Needed for an Upcoming Booking when the booking requires additional setup for guests? In this example, we used the Booking Fields section to automatically add the Additional Guest Air Mattresses Needed tag to new bookings that exceed 6 guests for a specific property in the Booking Relationship section.
Do you offer Boat Rentals as a special add-on for new bookings at your cabin during your summer season at the lake? Create a Boat Rental Offer tag automation that includes both your property and summer season to automatically send a template offer a couple of days after guests book!
Remove Tag Automations
Once added by the automation, tags will be automatically removed if/when the criteria conditions are met.
You can manually remove the applied tag at any time. Once manually removed, the automated tag will not be reapplied to the booking. To remove an automatically added tag, navigate to the booking > Overview > General Info > Tags > Change.
Then, unselect or Clear the automatically added tag and hit Save. Note: Clear will remove any other tags that may be applied, so unselect individually if other tags are applied already.
And don't forget, you can always Search and Filter your tags to locate tags that you want to remove.
